    How to Manage Price Lists, Discounts and Dealer Schemes in TallyPrime

    1. Enable feature: Press F11 (Features), locate inventory settings, and set Enable multiple Price Levels to Yes.
    2. Define levels: Go to Create > Price Level and enter your categories (e.g., Dealer Price, Retail Price).
    3. Assign to party: Open a party ledger and assign the specific price level to "lock in" their pricing.

    TallyPrime allows you to create "Price Lists" for specific Stock Groups. This feature automates staggered volume slabs, ensuring that the more a dealer buys, the better the rate they receive.

    Example slab structure:

    • 0 to 50 Units: ₹400 (No discount)
    • 50 to 100 Units: ₹390 (2% discount)
    • 100+ Units: ₹380 (5% discount)

    TallyPrime provides built-in margin protection by displaying the Cost Price directly on the price list setup screen. This cost is pulled from your active inventory valuation method (FIFO or Weighted Average). By comparing your target selling rate against your actual cost in real-time during the setup process, you ensure that high-volume discounts never dip below your break-even point.

    How to handle "buy 10, get 2 free" schemes?

    Promotional schemes often lead to inventory leakage because the "free" items aren't recorded correctly. I recommend two distinct workflows based on the promotion type:

    Workflow A: Same item promotions (the "split" method) - If the free item is identical to the purchased item, use the "Separate Actual and Billed Quantity" feature.

    • Path: F11 > Inventory > Use separate Actual and Billed Quantity columns = Yes.
    • Accounting duality: In the sales voucher, you enter 12 in the Actual column and 10 in the Billed column.
      • The Actual quantity (12) affects your Inventory Ledger (stock drawdown).
      • The Billed quantity (10) affects your Financial Ledger (revenue calculation).

    Workflow B: Different item promotions (zero-valued entry) - If you are giving a free Mouse with a Keyboard, you must enable Zero-valued transactions.

    • Path: Alter > Voucher Type > Sales > Allow zero-valued transactions = Yes.
    • This allows you to add the Mouse to the invoice with a quantity but no price, keeping your inventory counts accurate.

    Is your discount structure GST-compliant?

    Under the CGST Act (Sections 15 and 34), discounts must be handled precisely to avoid litigation.

    • GST-taxable credit notes: Issued under Section 34 to reduce both the taxable value and the GST originally charged. These must be linked to the original invoice in GSTR-1. Crucially, the statutory deadline for declaring these is November 30th of the following financial year. The buyer must also reverse their Input Tax Credit (ITC) accordingly.
    • Financial/commercial credit notes: These adjust the commercial balance without changing the original tax liability. The buyer retains their full original ITC, and there is no reporting requirement in GSTR-1.
    • Write-offs: If schemes result in damaged or expired goods, remember that writing off stock triggers an ITC reversal obligation under Rule 37A or Section 17(5) of the CGST Act.

    Troubleshooting e-invoicing rejections: If your e-invoice is rejected with an "Assessable Amount" error, it’s usually because your discount ledger is misconfigured. Ensure the discount ledger is grouped under Indirect Expenses, set the Type of Ledger to Not Applicable, and set Include in Assessable Value calculation to GST.

    Dealer Management Checklist:

    • Standardize policies: Document your pricing tiers before entering them into the system.
    • Discipline on overrides: Avoid frequent manual price changes during billing. Frequent "Manual Overrides" reduce consistency and destroy the audit trail you worked so hard to build.
    • Use stripe view: For high-volume data grids and long price lists, enable Stripe View. It highlights alternating rows to reduce reading errors during visual audits.
    • Set time limits: Always use "Applicable From" and expiry dates for schemes to prevent unintended post-promotion discounts.
    • Audit history: Use the Stock Query (Alt+S) during invoicing to see a customer’s last five transactions and purchase history.
