The Smart Find feature in TallyPrime 7.0 is a high-powered, ground-breaking, built-in solution designed to get rid of such everyday hurdles. It functions as a sharp search engine for a person’s day-to-day problems in financial data, reducing searching time and improving precision.

1. Lightning Fast Verification 

It presents any transaction in seconds. The Smart Find tool is the straightforward way to locate any kind of data a person is looking for in Tally. As soon as you use the keyboard shortcut Alt + F, it instantly presents a search bar. 

When a person searches for any data, the outcomes are clearly fragmented into two parts for greater transparency and clarity: 

  • Transactions at the top, showcasing every voucher where the searched term was found 
  • Masters at the bottom, showing the ledger or stock items that match 

Below are the ways in which it can help in fast verification scenarios: 

A. Locating a Particular Invoice 

Envision a call from a customer asking for a copy of a random bill. In place of glancing through every transaction in the sales register, one can easily type the invoice number into Smart Find and press Enter. The respective voucher immediately opens, ready to be printed or exported. This simplifies the entire process into a single quick action.

B. Finding a Transaction by its Cheque Number

If a person is willing to find a payment entry which was made through a particular cheque, he/she can search for its number (e.g., 147852). This Smart Find feature not only helps to locate the transaction quickly but also discovers the exact place where it was found (e.g., in the Instrument Number field), eliminating any chances of guesswork.

C. Searching Across All Companies of a Person

Visualise a person working in the “Head Office company file” and searching for the “ELCOM” ledger, but nothing is found. He/she doubts that it may be in the “Branch Office” file. 

So, in place of switching companies, the person can simply press the F3 function key on the keyboard while remaining on the search results screen. The person can shift from searching the “Current Company” to “All Companies”, and the tool will immediately scan all the open companies to find the master irrespective of the file it resides in. It removes the need to open and close different company files, making this inconvenient task a unified few-seconds job. 

 2. Keeping Your Books Tidy – A Cure for Messy Data

Inconsistent data entry is one of the most widely faced challenges in accounting. It may happen that different users make the same party with only minor differences in spellings, resulting in identical masters, incorrect account balances, and reporting mistakes. The Smart Find is the most appropriate tool for recognising and eliminating this chaotic data.

A. Catching Spelling Mistakes and Duplicates

The feature named “Include Similar Spellings” has been designed to detect common data-entry variations. Take for example a party named “Gautam” that might be wrongly entered as “Goutam” by some other user. 

To find these kinds of similar items, simply search for the term (e.g., “Gautam”) and then press the F9 key. This will immediately show outcomes for both GAUTAM and GOUTAM, and even different forms like “Gautams”. This utility is significant for identifying duplicate party ledgers that need merging and ensuring that your books are cleaned and correct. 

This proactive review serves as the primary safeguard against fragmented financial reporting.

B. Discovering Hidden Mentions with Content Matching

It may happen sometimes that a name or term is mentioned somewhere else and not in the main “Name field”, like in a narration or forming a part of another master’s name. 

In order to reach as many options as possible, a person can make use of the Content Matching feature. Post implementation of the primary search for a term like “Gautam”, press Ctrl + B (Basis of Value) and set “Include Contents Match” to Yes. This informs Tally to go through every single transaction or master with the same word, irrespective of the field it is present in, giving the full picture of the presence of that word in that person’s books.

C. Broadening Your Search with “Any Word is Present”

When a person’s search includes many words, like “Gautam Traders”, Tally by default searches for outcomes that contain both words. However, this behaviour can also be altered to look for results containing either of the words. This setting is perfect for exposing linked but not duplicate named masters. 

If a person wants to modify it, he/she must go to F1 Help → Settings → Find and change the search mode. 

Search Mode – How it Works 

  • All Words are Present (Default): 
    It presents results that include every single typed word. 
    Example: Searching for “Gautam Traders” will show entries containing only that exact phrase. 
  • Any Word is Present: 
    It finds outcomes that will have at least one of the typed words. 
    Example: Searching for “Gautam Traders” will show ABC TradersMS Gautam Traders, and all entries with either “Gautam” or “Traders”. 

This tool, “Any Word is Present”, is a ground-breaking feature for finding all connected transactions and masters when a person is sorting and cleaning up their books, ensuring no related entry is missed. 

3. Pro Tips for Advanced Searching

To derive the maximum benefit out of Smart Find, following are some cutting-edge advanced tips:

A. Pinpoint Your Search to a Specific Field

If a person knows exactly where to find the information, then he/she can make the search extremely particular. For example, to search only within the limit of narration of vouchers, the syntax Narration: [your search text] must be used. This results in presentation of only those transactions where the search term appears in the narration field.

B. See Where a Match Was Found

A user might think after the search which exact field had the search term. To know this, he/she can select a result from the list and press Alt + H. Tally will immediately present the detailed information showing all the fields that matched. 

For instance, if a person is looking for a cheque number, Alt + H will specifically verify and confirm that the match was found in the Instrument Number field. If it finds a party’s name, then it will show the Name field, eliminating all confusion

C. Manage Your Search History

For greater ease, Smart Find also recollects and remembers a person’s recent searches. In case a person does not want to maintain such history, then it can simply be turned off. 

Go to F1 Help → Settings → Find and set the “Maintain History” option to No.
