GST software for transport services

TallyPrime – The Best GST Software for Transport Services

Every freight bill on the right GST route, whether you pay the tax or your customer does.

Raise the freight bill with the LR and vehicle number on it, and TallyPrime applies GST the way you’ve set it up for that customer. It keeps e-way bills moving with the truck, and shows what each vehicle earns after diesel, tolls and repairs.

Your transport business and TallyPrime

The six that decide whether the software helps or gets in the way

In transport, the GST on a bill depends on who the customer is, the paperwork has to keep pace with the truck, and profit is decided vehicle by vehicle.

Freight billing

A bill that matches the LR

Customers check your freight bill against the LR, and a missing vehicle number or LR reference holds up payment. Loading and other charges belong on the same bill.

In TallyPrime, the LR and vehicle number print on the invoice with every charge, and the bill goes out on WhatsApp straight from the entry.

How your business benefits

Customers get a bill they can check and pay without queries.

GST route

The right GST route for every customer

Registered businesses and factories pay GST on your freight under reverse charge. Unregistered customers are exempt, except for goods ordered through an e-commerce platform.

Set up each kind of customer once in TallyPrime. Every bill then follows the right route, with the tax analysis printed and reported in GSTR-1.

How your business benefits

Every bill takes the right route without anyone working it out.

GST rate

5% without credit, or 18% with it

A GTA can charge 5% and claim no input credit, or 18% and claim full credit. Which suits you depends on how much GST you pay on trucks, tyres and repairs.

Choose your rate once in TallyPrime, and every freight bill carries it automatically, with nothing to look up when the bill is raised.

How your business benefits

The rate you opted for appears on every bill.

e-Way bills

Paperwork that keeps up with the truck

Vehicles change mid-route, trucks break down, and the vehicle number often isn’t known when the e-way bill is first raised.

Update Part B and the transporter ID, or extend validity, from inside TallyPrime, as often as needed while the e-way bill is valid.

How your business benefits

A vehicle change never leaves a truck waiting on paperwork.

Vehicle profitability

Know which truck earns, and which costs too much

A truck that’s always on the road can still lose money once diesel, tolls, repairs and the driver are paid. A weak vehicle easily hides behind good ones.

Set up each vehicle as a cost centre in TallyPrime, and its earnings and running costs come together as you record them, truck by truck.

How your business benefits

You know which trucks to keep, replace or redeploy.

Collections

Get paid for every trip

Freight runs on monthly credit, while diesel has to be paid for today. Chasing customers from memory leaves cash stuck for weeks.

TallyPrime shows who owes what and since when, and sends bills and reminders on WhatsApp with a payment link, so customers can pay on the spot.

How your business benefits

You know exactly whom to chase, and for how much.

The one real difference between transport businesses

What stock does a transport business carry?

A transporter’s stock isn’t the freight. Many carry no stock at all. Fleets with their own workshop keep spares, tyres and lubricants, and logistics firms may hold goods for clients. Whether you carry stock is a setup decision, not a different product, and TallyPrime lets you work the way that fits you.

How your stock is identified Typical trades How it is handled
No stock at all Transporters using outside garages for repairs Inventory switched off, so only accounting features appear
Location Fleet operators with several depots, transporters with a workshop at each branch Godown-wise stock with a location summary report, and transfers between depots and workshops
Unit conversions Fleets that buy lubricants or fuel in bulk and issue them in smaller measures Compound units where the conversion is fixed, such as a barrel in litres. Alternate units where it varies from one transaction to the next
Groups and categories Workshops stocking spare parts, lubricants and batteries with a limited life Stock groups by make, part type or size, with stock categories that classify items across groups
Third-party stock Logistics and warehousing firms holding goods for clients Separate godowns for client-owned stock, kept out of your own books of accounts

FAQs

What is the GST rate on transport services by a GTA?
Since 22 September 2025, a goods transport agency can charge 5% GST without input tax credit, or 18% with full input tax credit. The earlier 12% option was replaced by 18%.
Who pays GST on freight: the transporter or the customer?
It depends on the customer. Registered persons, factories, societies, co-operatives, body corporates, partnership firms and casual taxable persons pay under reverse charge. GTA services to other unregistered customers are exempt. From 1 November 2026, though, that exemption doesn’t cover goods supplied through an e-commerce operator, and the GTA is responsible for the tax.
Can I choose to pay the GST myself instead of my customers?
Yes. A registered GTA can opt for forward charge by filing a declaration in Annexure V before the start of the financial year. It then charges GST at 5% or 18% on its own bills.
My business pays freight under reverse charge. How does TallyPrime handle it?
Record the freight as a purchase against a service ledger marked for reverse charge. The liability appears in GSTR-3B in section 3.1, Tax on Outward and Reverse Charge Inward Supplies. The Reverse Charge Supplies report shows the liability, the ITC booked, and any ITC still to be booked.
Can I update e-way bills when the vehicle changes?
Yes. Update Part B and the transporter ID online or offline, as many times as needed within the validity period, and extend validity for delays such as a breakdown.
Can I track profit for each vehicle?
Yes. Set up each vehicle as a cost centre, and its earnings and running costs come together as you record them.
Do I deduct TDS when I hire trucks?
Payments to contractors attract TDS under the Income-tax Act, 2025. No TDS is required on payments to a transporter who owns ten or fewer goods carriages during the year and gives you a declaration with their PAN.
