What is an e-way bill? 

An E-Way Bill (Electronic Way Bill) is a document generated through the GST portal before the movement of goods exceeding ₹50,000. It contains details of the goods being transported, the consignor, the recipient and the transporter, enabling tax authorities to verify that the movement of goods complies with GST regulations.

The requirement to generate an E-Way Bill depends on factors such as the value of the consignment, the nature of the goods and the purpose of movement. Once generated, the document carries a unique E-Way Bill Number (EBN), which can be accessed by the supplier, recipient and transporter for verification during transit.

Why is an E-Way Bill important?

The movement of goods often involves multiple parties, including suppliers, transporters and recipients, making it difficult for tax authorities to verify whether the goods are being transported in accordance with GST requirements. The E-Way Bill creates a standardised digital record of every eligible movement, linking the consignment to the relevant GST transaction.

Beyond regulatory compliance, the E-Way Bill improves transparency throughout the supply chain. It enables businesses to document the movement of goods, reduces disputes arising from incomplete transport records and simplifies verification during inspections. By digitising transport documentation, the system also helps curb tax evasion, promotes faster movement of goods across states and supports a more efficient logistics ecosystem.

How does an e-way bill work?

1. Details of the consignment are entered

Before the goods begin their journey, the registered supplier, recipient or transporter enters details such as the GSTIN of the parties involved, the invoice or delivery challan number, the value of the goods, HSN code and place of dispatch and delivery on the E-Way Bill portal.

2. The E-Way Bill is generated

After the required information is validated, the portal generates an EBN, which becomes the unique reference for that movement of goods.

3. The goods are transported

The transporter carries the E-Way Bill number, either electronically or in the prescribed form, along with other relevant transport documents during transit.

4. The consignment may be verified

Tax authorities can verify the E-Way Bill during transit by matching the details of the goods, vehicle and transporter with the information available on the GST portal.

5. The E-Way Bill remains valid for the prescribed period

The validity of the E-Way Bill depends on the distance the goods are transported. If the goods cannot be delivered within the prescribed validity period, the E-Way Bill may need to be extended in accordance with GST provisions.

Example 

A manufacturer in Pune sells machinery worth ₹1,20,000 to a distributor in Nagpur. Since the consignment value exceeds ₹50,000 and the goods are being transported from one location to another, an E-Way Bill must be generated before the movement begins. The manufacturer enters the invoice details, recipient's GSTIN and transporter information on the E-Way Bill portal, which generates a unique E-Way Bill Number (EBN).

In another case, if the same manufacturer dispatches machinery worth ₹35,000 under similar circumstances, generating an E-Way Bill is generally not mandatory because the consignment value does not exceed the prescribed threshold, unless the movement falls under a category where the GST rules specifically require one.
