UAE e-Invoicing ASP Onboarding Checklist for Businesses

30 second summary | UAE e-invoicing requires businesses to connect to the Federal Tax Authority’s platform through an accredited service provider (ASP). This checklist covers the documents, technical requirements and steps a business needs to complete ASP onboarding before the applicable FTA phase deadline.

If your business falls under the UAE e-invoicing mandate, you can't connect your invoicing software straight to the Federal Tax Authority (FTA)'s system. You need to go through an Accredited Service Provider (ASP) first.

The ASP is the FTA-approved middleman in this setup. It validates and converts your invoices, then transmits them to the FTA in real time. Your enterprise resource planning (ERP) system never has to talk to the tax authority directly.

Onboarding an ASP correctly the first time matters. Get it wrong, and you risk missing your go-live date. This checklist walks through what you need before you start, how to pick an accredited provider, and the steps to get connected without delays.

What is an ASP?

The UAE implemented a Decentralised Continuous Transaction Controls (DCTC) model for e-invoicing. In this model, an ASP sits between the business and the FTA, handling invoice validation, format conversion and real-time transmission to the FTA’s central system.

The FTA accredits ASPs after verifying that they meet the technical and compliance standards it has set.

Who needs to complete ASP onboarding?

The FTA is rolling out e-invoicing in phases. Phase 2 applies to businesses with revenue of AED 50 million or more, which must appoint an Accredited Service Provider (ASP) by October 2026 and adopt mandatory e-invoicing from 1 January 2027. Phase 3 extends the requirement to other taxpayers with revenue below AED 50 million, with ASP appointment required by March 2027 and mandatory e-invoicing from 1 July 2027.

Start early. ERP integration and testing can take weeks, and a failed test run resets the whole timeline. Businesses in Phase 2 that miss their go-live date will face administrative penalties under Cabinet Decision No. 106 of 2025.

What do you need before starting ASP onboarding?

Before approaching an ASP, gather the following.

  • A valid trade licence
  • A tax registration number (TRN) that is active and linked to the correct legal entity
  • Authorised signatory information
  • ERP or invoicing software details, including vendor name, version number and whether the system supports Peppol BIS 3.0 or UBL 2.1 format
  • A designated technical contact for the integration process

Some ASPs also ask for a copy of the memorandum of association (MoA). If an implementation partner is handling onboarding, add a letter of authorisation too.

How do you choose an FTA-accredited ASP?

The UAE Ministry of Finance publishes its ASP accreditation list on its official portal. When comparing providers, consider the following:

  • Whether the ASP’s integration method (direct API, Peppol access point or middleware) is compatible with your ERP
  • The ASP's Service Level Agreement (SLA), including uptime commitments and procedures for handling transmission failures.
  • The testing environment it provides before go-live
  • Onboarding timeline and support availability in your preferred language

Cost is a factor, but an ASP with a lower fee and a slower onboarding track can push a business past its FTA deadline. Ask each shortlisted ASP for a realistic onboarding timeline before signing.

What are the steps in ASP onboarding?

Once a business selects an ASP, the process follows these steps.

  1. Register on the FTA’s e-invoicing portal and confirm your business’s eligibility and the e-invoicing phase your business is classified in.
  2. Generate your onboarding credentials or API token through the FTA portal
  3. Share credentials with your selected ASP to authorise the connection
  4. Complete the ASP’s integration form and provide your ERP details
  5. Test invoice transmission in the ASP’s sandbox environment using the PINT-AE format
  6. Resolve any format or field-mapping errors flagged during testing
  7. Submit test completion confirmation to the ASP and request go-live activation

The FTA requires successful sandbox testing as part of the onboarding process before a business can go live. Skipping or abbreviating the test phase is a common reason for go-live rejection.

What can delay ASP onboarding?

A business can follow every step and still face delays because of the following.

  • TRN not active or linked to the wrong legal entity at the time of FTA portal registration
  • ERP software version not supported by the selected ASP, requiring an upgrade before integration can begin
  • Invoice data fields not mapped to the correct Peppol BIS 3.0 elements, causing repeated test rejections
  • Missing authorisation documents when an implementation partner is handling onboarding
  • Requesting go-live without the FTA-required sandbox sign-off

Fixing field-mapping errors is typically the longest stage. Businesses with older or heavily customised ERP systems should budget extra time for this before the deadline.

Conclusion

Most onboarding delays come from missing documents or ERP compatibility issues rather than the FTA registration steps themselves. Complete your documentation before selecting an ASP and run full sandbox testing before going live. By doing both, delays become far less likely.

FAQs

Yes. The FTA framework allows this if a business runs different invoicing systems across business units. Each ASP connection still needs its own registration and testing, though.

If an ASP is de-accredited, the business must migrate to another FTA-accredited provider. The FTA typically provides a transition window, but the business is responsible for ensuring uninterrupted e-invoice transmission during the migration.

The FTA does not charge a fee for registering on the e-invoicing portal. ASPs set their own pricing for integration services, which varies by provider and by the complexity of the ERP integration required.

The UAE e-invoicing mandate uses the PINT-AE standard, which is based on Universal Business Language (UBL) 2.1. Businesses must confirm that their ERP can generate invoices in this format before starting ASP integration.

Yes. The business just needs to complete re-registration and sandbox testing with the new provider first, before deactivating the old connection. There should be no gap in e-invoice transmission during the transition.
