How to Track Outstanding Invoices and Overdue Payments

Yashas Sahni

October 5, 2026

30 second summary | Tracking outstanding invoices starts with maintaining an accurate invoice register, recording due dates, balances and payment status. Regular ageing reports help businesses identify overdue and high-value invoices, while a fixed reminder schedule ensures timely follow-up. Payments should also be reconciled against the correct invoices to keep balances accurate. Accounting software like TallyPrime brings invoices, receivables ageing, payment tracking and reminders together, giving businesses better visibility and control over collections.

To track outstanding invoices, record every invoice with its due date, group the unpaid ones by how many days they are late and follow up on a fixed schedule until each payment is received and matched. That routine tells you who owes you money today and how long each amount has been waiting.

Many Small and Medium-Sized Enterprises (SMEs) in the UAE run this on spreadsheets, email threads and manual follow-up calls. With records spread across files, an AED 40,000 invoice that is 70 days late can look no different from one sent last week. This makes it hard to tell which invoices need attention first.

What is the difference between outstanding and overdue invoices?

An outstanding invoice is any sales invoice the customer has not paid in full. An overdue invoice is an outstanding invoice whose due date has passed. An invoice dated 1 September with 30-day terms is outstanding from the day you issue it and becomes overdue on 2 October if no payment arrives.

Part payments keep an invoice open. If a customer pays AED 6,000 against an AED 10,000 invoice, AED 4,000 is still outstanding, and the invoice stays on your list until it is cleared.

Why do UAE businesses need visibility into receivables?

Accounts receivable is the total your customers owe for goods or services you have already delivered. Until that money arrives, you have covered the cost of the sale without collecting the revenue. A business can show a profit in its financial reports and still face a cash flow shortage if too much of that profit sits in unpaid invoices in the UAE or abroad.

Value-Added Tax (VAT) adds pressure. A VAT-registered supplier generally accounts for output tax in the period of supply, whether or not the customer has paid.

How do you maintain an invoice register?

An invoice register is a single list of every invoice you issue and its current status. It is the basis for all accounts receivable tracking, and each entry should record these details.

  • Customer name
  • Invoice number
  • Invoice amount and the balance still due
  • Issue date
  • Due date, based on the credit terms agreed with the customer
  • Status (paid, part-paid, outstanding or overdue)

Part-paid and overdue

Add a row the day you raise an invoice and update the status the day a payment lands. A register that is updated once a month shows outdated balances for most of that month.

How do you use an invoice ageing report?

An invoice ageing report groups unpaid invoices by how long they have been overdue. Most businesses use these five bands.

  • Current (not yet due)
  • 1–30 days overdue
  • 31–60 days overdue
  • 61–90 days overdue
  • 90+ days overdue

In the tracker above, AED 7,200 is current, and AED 28,300 falls in the 1–30 band. AED 42,000 sits in the 61–90 band, and AED 4,000 is past 90 days.

Compare the report from one week to the next. A growing 61–90 band usually means follow-up has slipped, even when sales look healthy. The report is only as accurate as the register behind it, so unrecorded receipts or credit notes will make old balances look larger than they are.

Which invoices should you follow up on first?

Rank overdue invoices on four factors before you start calling customers:

  • Amount: One large balance affects cash flow more than several small ones.
  • Age: The older an invoice gets, the harder it usually is to collect.
  • Customer history: A regular payer who is ten days late needs a lighter nudge than a customer who is late on every invoice.
  • Business impact: Move an invoice up if the customer is due another delivery or if the amount is needed for a supplier payment this week.

In the example, Gulf Star Contracting comes first because it owes the largest amount and is 76 days late. Bayside Interiors is older but owes AED 4,000, so a firm written reminder may be enough before a call.

When should you send payment reminders?

Overdue payment tracking works best when reminders go out on a fixed schedule, so no invoice slips through.

  1. Send a courtesy reminder three to five days before the due date with a copy of the invoice.
  2. Send a second message on the due date that confirms the amount and your bank details.
  3. Send an overdue notice seven days after the due date.
  4. Call the customer if the overdue notice gets no reply within three working days.
  5. Escalate to a senior contact at the customer once the invoice is 30 days overdue.

Quote the invoice number and the exact balance in every reminder. A vague request to ‘clear pending dues’ is easy to ignore and hard for the customer’s accounts team to match.

How do you identify customers with repeated payment delays?

Past payment behaviour is a reliable guide to future behaviour. For each customer, compare invoice due dates with the dates payments arrived over the last six to twelve months and work out the average number of days they pay late.

A customer who pays 25 days late on average needs a different approach from one who is late once a year. For repeat late payers, you can shorten credit terms, ask for part payment in advance or set a credit limit that blocks new invoices once the unpaid balance crosses it.

Why should you reconcile payments against invoices?

Reconciliation means matching every receipt in your bank statement to the invoice it pays. Payment tracking without this step lets your outstanding balances drift away from what customers actually owe.

Three errors come up often:

  • A payment gets recorded against the wrong invoice.
  • A single transfer that covers several invoices gets booked against one of them.
  • Bank charges on an international transfer leave a small balance open that nobody chases.

Each of these either sends a reminder to a customer who has already paid or hides a real overdue amount. Reconcile at least once a week and always before you run an ageing report.

How does accounting software simplify invoice tracking?

Accounting software records the invoice, its due date and the receipt in one place, so the register and ageing report update as you work. Most accounting software in the UAE gives you a dashboard of total receivables, ageing reports by customer and reminders that can be scheduled against due dates. Moving invoice management out of a spreadsheet takes five steps.

  1. Clean the spreadsheet so every open invoice has a customer name, invoice number, balance and due date.
  2. Create customer records in the software with their credit terms.
  3. Enter each open invoice as an opening balance with its original invoice date and due date.
  4. Check that total receivables in the software match the spreadsheet total.
  5. Raise all new invoices in the software and stop updating the spreadsheet.

A common mistake is entering one lump-sum opening balance per customer. It hides the age of each invoice, and the ageing report will then show old debts as current. When you compare invoice tracking software in the UAE, check that it keeps invoice-level detail for every receipt and supports UAE VAT.

Why does structured invoice data matter for UAE e-Invoicing?

The UAE is moving business-to-business and business-to-government invoices to a structured electronic format. Under Ministerial Decision No. 244 of 2025, as amended, businesses with annual revenue of AED 50 million or more must appoint an Accredited Service Provider (ASP) by 30 October 2026 and start e-Invoicing from 1 January 2027. Businesses below that threshold must appoint an ASP by 31 March 2027 and go live from 1 July 2027.

Under the new system, an invoice is machine-readable data in the PINT AE format sent through an ASP. A PDF attached to an email does not qualify. For receivables, the practical effect of UAE e-Invoicing is simple. If your records already hold consistent customer details, invoice numbers, dates and amounts in one system, you will have far less to fix when your phase begins.

How to start tracking invoices systematically?

The following steps provide a structured approach to tracking outstanding invoices:

  • Prioritise older, high-value invoices: Start with your oldest and largest unpaid invoices.
  • Create an invoice register: Record each outstanding invoice along with the customer, amount, due date and payment status.
  • Run an ageing report: Generate an accounts receivable ageing report to group unpaid invoices by how long they have been outstanding.
  • Prioritise overdue accounts: Add customers with invoices in the 61–90 days and 90+ days ageing bands to your immediate follow-up list.
  • Keep the register updated: Record payments and changes regularly so your next ageing report reflects the current outstanding balances.

Effective invoice tracking is less about chasing payments more often and more about keeping accurate, up-to-date receivables records. Maintain a complete invoice register, review ageing regularly, prioritise older and higher-value balances, follow a consistent reminder schedule and reconcile every receipt against the correct invoice. TallyPrime records sales invoices with bill-wise details, shows ageing of receivables and lets you set receipts against specific invoices, so what customers owe sits in one place.

FAQs

At a minimum, record the customer, invoice number, amount, balance due, issue date, due date and status. Adding the customer’s contact person and the date of your last follow-up lets anyone on the team pick up a collection. A notes column for promised payment dates shows whether customers keep their word.

A weekly review suits most small businesses, with a fuller ageing review at month-end before closing the books. Businesses with high invoice volumes or thin cash reserves may need to check receipts daily. The review is only useful if receipts are recorded before you run it.

It sorts unpaid invoices into time bands based on the days passed since the due date. Some systems count from the invoice date instead, so the same invoice can land in different bands depending on the setting. Check which date your report uses before you compare figures across periods.

Start with invoices that are both large and old, then look at customers whose payments are getting slower over time. Keep disputed invoices on a separate list. Chasing them before the dispute is settled rarely brings payment and can strain the relationship.

Yes, as long as every invoice and receipt is recorded in the software with the correct due date. The software then calculates days overdue and updates ageing as receipts are entered. It cannot account for payments it does not know about, so unrecorded bank receipts or cheques in transit will make balances look higher than they are.

Check that each customer record has the correct legal name, address and Tax Registration Number (TRN) where one applies. Make sure invoice numbering is sequential with no duplicates, and remove old test entries and duplicate customer accounts. Then ask your software provider how it will connect with an ASP.
