For businesses covered by the UAE’s e-invoicing rules, appointing an Accredited Service Provider (ASP) is a key step before going live. The appointment is completed through EmaraTax, but there is more to the process than selecting a provider. The right ASP should fit the business’s needs, work with its existing systems and be able to support the next stages of e-invoicing implementation.
This guide explains how to appoint an ASP on EmaraTax and what happens after the appointment is complete.
How to appoint an ASP on EmaraTax: Step by step
Businesses can access the EmaraTax system to select their preferred ASP and begin their e-invoicing setup. The process follows a clear sequence, with each step outlined below:
Step 1: Log in to EmaraTax
Go to eservices.tax.gov.ae and log in using your UAE PASS credentials or your registered email address and password. UAE PASS is the recommended option as it is linked to your verified identity. If your business does not yet have a Tax Registration Number (TRN), this must be obtained from the Federal Tax Authority (FTA) before you can proceed.
Step 2: Navigate to the e-invoicing section
From the main dashboard, look for the e-Invoicing section. It may be listed under "Other Services" or as a standalone icon, depending on portal updates. The section will display the current list of accredited and pre-approved providers for reference.
Step 3: Register for the e-Invoicing system
Click "Register for E-Invoicing System." The portal will ask you to confirm:
- Legal name in Arabic and English
- Tax Registration Number
- Registered address
Ensure these details match the information registered with the FTA and your official business records. Any discrepancy may require correction before you can complete the registration.
Step 4: Appoint your ASP
In the “System Linking” section, select “Appoint Service Provider” and choose your selected ASP from the available options. Follow the portal instructions to complete the appointment and establish the connection between your business systems and the ASP.
Before appointing an ASP, businesses should also consider completing an e-invoicing impact assessment, evaluating potential service providers and preparing an implementation plan. This can help clarify technical requirements, responsibilities and the steps needed for a smooth transition.
Step 5: Confirm the link
Once the credentials are entered into your accounting system, EmaraTax performs a verification check. If the dashboard shows the status as "Active," the appointment is confirmed. If it shows pending or failed, check that the credentials were entered correctly and that your company details match exactly.
Step 6: Agree on a working model
The appointment is the technical step. The working model is the operational one. Before going live, agree with your ASP on:
- How invoice data will be transmitted from your system to theirs
- How confirmation or rejection notifications will be received
- How supplier invoices addressed to you will arrive through their access point
Skipping this discussion means operational gaps appear after go-live, not before.
Step 7: Test before going live
Sending your first invoice without sandbox testing can result in rejections. Use the testing phase to verify your XML output. The FTA provides a sandbox environment for this purpose. Run several test transactions covering different invoice types before switching to live mode.
What happens after the ASP appointment?
Completing the EmaraTax appointment marks an important compliance milestone, but the implementation does not end there. Several requirements need to be addressed before the business can issue its first live e-invoice.
Make sure the accounting system is ready
The Enterprise Resource Planning (ERP) or accounting system must be capable of generating structured invoices in Peppol International Invoice UAE (PINT AE) XML format, with all mandatory fields correctly populated. Businesses registered for Value-Added Tax (VAT) must generally issue tax invoices within 14 days of the date of supply, subject to applicable exceptions and time-of-supply rules under UAE VAT legislation.
Check your record-keeping process
The e-invoicing system also comes with record-keeping requirements. Businesses subject to the system must retain electronic invoices, credit notes and associated data for the applicable period. These records should also be readily available if the authorities request them.
Businesses should confirm with their ASP how invoice data is stored and archived under the service agreement. It is also worth checking whether any additional storage or archiving arrangements are required on the business's side.
Common mistakes when appointing an ASP
The Ministry of Finance (MoF) states that businesses must select their preferred ASP through EmaraTax, enter into a commercial agreement with the provider and then complete the onboarding process. Addressing the following issues early can help businesses avoid delays in implementing e-invoicing.
Choosing a provider that is not on the approved list
Businesses should verify their preferred provider against the MoF's current list of pre-approved eInvoicing Service Providers. The list is updated periodically, and pre-approval is followed by final accreditation under the applicable rules. If a provider is not listed, businesses should confirm its current status with the Ministry or choose a provider from the published list.
Selecting an ASP without checking technical requirements
The MoF provides guidance on what businesses should consider when selecting an ASP. This includes checking whether the provider can support existing systems, facilitate invoice exchange and meet reporting requirements. Reviewing these factors before making a selection can help businesses avoid implementation issues later.
Treating ASP selection as complete implementation
Choosing an ASP on EmaraTax does not complete the e-invoicing setup. The business still needs to sign a commercial agreement with the provider and complete onboarding before it can start exchanging eInvoices. Technical onboarding should begin as soon as the ASP has been appointed to avoid unnecessary implementation delays.
Leaving ASP appointment and onboarding until the deadline
The MoF has encouraged businesses to select an ASP, finalise the contractual arrangements and begin onboarding as early as possible. Businesses with annual revenue of AED 50 million or more had to appoint an ASP by 30 October 2026. Any delay in selecting or onboarding an ASP can reduce the time available for system integration and preparation before mandatory e-invoicing begins on 1 January 2027.
Appointing an accredited service provider on EmaraTax is a structured process, but it requires groundwork before you even open the portal. Businesses should have a commercial agreement in place with an accredited provider, verify their company details in EmaraTax and complete the appointment through the System Linking section. The setup should then be tested thoroughly before moving to live e-invoicing.
