An e-invoice may be rejected for several reasons, from missing customer information and incorrect tax details to errors identified during the exchange process. For UAE businesses, such rejections can delay invoice processing, require additional corrections and create unnecessary follow-ups. Identifying these issues before an invoice is exchanged is therefore just as important as generating the e-Invoice itself.
TallyPrime helps businesses minimise these challenges through built-in validations, warnings and e-invoice reports that identify transactions requiring attention. It also allows users to track exchange responses, identify where an e-invoice has been rejected and review the errors that need to be addressed.
Let us explore the common reasons for UAE e-invoice rejections, how TallyPrime helps prevent them and how businesses can identify and manage errors throughout the e-invoicing process.
What causes UAE e-invoice rejections?
An e-invoice can be rejected when the information it contains does not meet the UAE e-invoicing requirements or when an issue is identified during its exchange through the five-corner model. These errors may originate from incorrect master data, missing transaction details or inconsistencies in the invoice information.
Some common issues that can lead to validation failures or e-invoice rejections include:
- Incomplete customer information: Missing or incorrect details such as the buyer's Tax Identification Number (TIN), address, Peppol details or other mandatory identification information can affect invoice validation and exchange.
- Incorrect Unit of Measurement (UoM): Under the Peppol framework, units of measurement must be mapped to recognised Unit Quantity Codes (UQC). Missing or incorrect mappings can prevent successful e-invoice exchange.
- Missing allowance or charge reasons: When an invoice includes discounts, additional charges or excise amounts, the applicable reasons must be specified. Without these details, the transaction may be flagged as uncertain and prevented from being exchanged.
- Incorrect VAT information: Errors in tax rates, taxability classifications or exemption-related information can result in discrepancies between the invoice details and applicable VAT requirements.
- Errors during invoice exchange: Even when an invoice has been generated, issues identified by the supplier's ASP, buyer's ASP or other participants in the exchange process may prevent it from progressing successfully.
Not all these issues result in an outright rejection. Some can be identified and corrected before an invoice is exchanged, while others may only become apparent after the exchange process has begun.
This is where TallyPrime's built-in validations, warnings and e-invoice reports become useful. By identifying potential errors early and providing visibility into exchange responses, TallyPrime helps businesses address issues at different stages of the e-invoicing process.
How TallyPrime helps prevent UAE e-invoice rejections
Preventing e-invoice rejections begins with ensuring that the information recorded in an invoice is accurate and meets the UAE e-invoicing requirements. Instead of identifying errors only after an invoice has been sent for exchange, businesses can address potential issues while configuring their masters and recording transactions.
TallyPrime supports this through built-in validations, warnings and e-invoice reports that help identify missing or incorrect information before an invoice is exchanged.
- Validate customer and business information
Accurate customer and business details are essential for successful e-invoice exchange. TallyPrime allows businesses to maintain the required information in their party and company masters, including TIN, TRN, address, Peppol details and other identification information.
These details can be reviewed and updated to help ensure that invoices contain the information required for exchange.
- Ensure correct item and tax configurations
Incorrect item details or tax configurations can affect the accuracy of an e-invoice. TallyPrime allows businesses to configure the relevant information in their item masters, including Units of Measurement (UoM), Unit Quantity Codes (UQC), taxability and applicable VAT rates.
By maintaining these details correctly, businesses can reduce errors arising from missing unit mappings or incorrect tax classifications.
- Identify missing discount and charge details
Under UAE e-invoicing requirements, invoices containing discounts, additional charges or excise amounts must include the applicable reasons.
TallyPrime allows businesses to configure allowance reasons for discounts and reasons for additional charges in the relevant ledgers. If these details are missing, the transaction may appear under Uncertain Transactions in the e-invoice report and will not be exchanged until the required information is provided.
For example, if a business records a sales invoice with a discount but has not specified the allowance reason, it can identify and correct the missing information before initiating the exchange.
- Review uncertain transactions and validation warnings
TallyPrime's e-invoice reports help businesses identify transactions that require attention before they can be exchanged.
Instead of manually reviewing every invoice, users can examine the transactions flagged as uncertain, drill down into the relevant vouchers and correct the information causing the issue.
This helps businesses resolve errors at the transaction level and reduce the chances of sending incomplete or incorrect e-invoices for exchange.
By combining accurate master configurations with transaction-level validations and exception reporting, TallyPrime helps businesses address potential e-invoicing errors before they result in rejections.
How to identify rejected e-invoices in TallyPrime
Even after an e-invoice passes the initial validations, it may be rejected during exchange due to incorrect information or other validation errors. TallyPrime helps businesses identify such invoices through its e-invoice report, which provides a consolidated view of transactions requiring attention along with the reasons for rejection.
Step 1: Open the e-Invoice report
Navigate to Alt+G (Go To) > e-invoice and select the relevant reporting period.
The report categorises transactions into different sections, including:
- Generation in progress: Currently waiting for acceptance from the four corners
- Uncertain transactions (Corrections needed): Transactions with issues that need to be addressed before exchange.
- Rejected by e-invoice system: Invoices that have been rejected during the exchange process.
- Pending for e-invoice generation: Transactions awaiting e-invoice generation.
Step 2: View rejected e-invoices
Select Rejected by e-invoice System to open the list of rejected transactions.
TallyPrime displays details such as the invoice date, customer name, party TIN, voucher type, voucher number and invoice amount.
It also shows the Reason for Rejection against each invoice, helping businesses understand why the exchange was unsuccessful.
Step 3: Review the affected transaction
Once the reason for rejection is identified, users can select the relevant voucher to review its transaction details and investigate the error.
This allows businesses to locate the affected invoice and determine what needs to be corrected without manually comparing transactions against separate rejection messages.
By displaying rejected invoices and their corresponding error messages in a single report, TallyPrime helps businesses quickly identify exchange failures and take the necessary corrective action.
Can you generate UAE e-invoices now and exchange them later?
Not every business exchanges invoices immediately after recording a sales transaction. Some businesses follow an internal approval process where invoices must be reviewed by a finance manager or authorised employee before they are sent.
TallyPrime supports this workflow by allowing businesses to record sales invoices and exchange them later with the e-invoice system, rather than initiating the exchange immediately.
How to exchange e-invoices after an internal review
- Open a sales voucher in TallyPrime and press F12 (Configure).
- Set Send e-Invoice Details After Saving Voucher to No.
- Record and save the sales transaction as usual. Provided the mandatory details are available, the invoice is saved and appears under the pending category in the e-Invoice report.
- Once the invoice has been reviewed and approved internally, open the e-Invoice report through the Exchange menu.
- Select the pending invoices and initiate their exchange.
For example, a UAE trading company may generate several sales invoices throughout the day but require its accounts manager to verify the transactions before they are exchanged. With TallyPrime, the team can record invoices as usual and exchange them together after completing the review.
This flexibility allows businesses to maintain their existing approval processes while managing e-invoice generation and exchange within TallyPrime.
UAE e-invoicing involves more than generating an invoice. Businesses must ensure that invoice details are accurate, exchange e-iInvoices through the five-corner model and track their status until the exchange is complete.
TallyPrime brings these activities together in one connected workflow. From recording sales transactions and generating e-invoices in just a few clicks to tracking real-time statuses, identifying errors and managing exceptions, TallyPrime simplifies the entire process. With Tally authorised by the UAE Ministry of Finance as an Accredited Service Provider (ASP), businesses can manage UAE e-invoicing directly from their accounting software while maintaining visibility and control over every transaction.
